The Adult High School (ASH) budget spreadsheet is provided by the AHS Supervisor to HR in August each year. HR uses this spreadsheet for the following:
1) to enter hourly rate and total hours of AHS staff to the August board agenda for approval
2) to enter into ESP the AHS staff pay
3) review and entry of position control for AHS staff positions
We had a discussion with the AHS Principal and Supervisor and learned the following:
- Adult High School has classes on Monday, Tuesday and Wednesday nights for 2 classes each night, 1.5 hours per class. First class meets 6:30pm-8pm and the second class meets 8:00pm-9:30pm.
- Independent study classes consist of 1.5 hours per class. This is because the teacher does not have to come into the school. The students work from home.
- Most teachers teach at least 2 classes totaling 3 hours. However, there are teachers who teach more than two classes.
- To calculate the pay for each teacher, use the HRS/MTG (+6) column times the RATE PER HR. column. This is the amount your will use for the contract pay in ERP.
Note: HRS/MTG (+6) is the total hours working, including the RIT hour(s) and the MTG (+6) hours for the each teacher. The MTG +6 hours is added to the total hours for each teacher (not each course) to attend meetings such as evaluations, staff meetings, etc. If the teacher is only working one semester, then this amount will be +3 hours, not +6 hours. As an example, If a teacher teaches two courses, but an independent study course, he/she would receive only a total of +6 hours, not +6 hours per course. - FYI: The RIT – 1 HR column is for teachers’ prep. The RIT is usually .5 hours for each course and .25 hours for each independent course. This is for each course, not each class. As an example, if a teacher teaches two English 11 courses, he/she would get .5 total hours because the prep for the course is the same. If the teacher teaches 1 English 11 course and 1 English 12 course, then he/she would get 1.0 total prep hours because each course is a different prep.
To the AHS staff to the August board agenda, use the previous year’s August board agenda as a guide. AHS teachers/Ed Advisors and Testing staff calculated on an hourly basis, but most are paid through ERP on a contract basis. Listed on the board agenda is the Employee Name, Position, Position Number, Distribution Account Number, and Rate per Hour.
Upon board approval, then entry into ERP needs to be done. We use the column of the spreadsheet HRS/MTG (+6) times the RATE PER HOURS to enter the job/pay as contract pay for each employee/position. Before this can be done, the pay table (ID: AHS) for the current school year, needs to be updated by our Staff Accountant.
