The Key Fobs to Inactivate report is a spreadsheet that is shared with the Supervisor of HR and the Assistant Principal of each school who is responsible for key fob activation (currently Emily Barkocy at MH and Joe Cirigliano at MK).

This spreadsheet notifies these two assistant principals of key fobs that were issued to employees who are no longer working for us. These fobs will need to be inactivated by the assistant principals. This will allow the key fob to be re-issued to a new employee and it will also ensure that former employees do not have access to our schools.

You will also need to go into Linq ERP and remove the key fob number that is listed on the Miscellaneous page. However, do not do this until you have noted the key fob number on the spreadsheet and it is AFTER the employee’s last day working.

NOTE: once the key fob number is removed in Linq ERP, you will not be able to locate to this number. The reason for removing it in Linq ERP is so that when the key fob is issued to a new employee, the new employee’s information is tied to the key fob. If you do no remove the key fob number from the former employee, then the former employee’s information is still tied to the key fob.

The spreadsheet is self-explanatory. Follow the same pattern to enter those terminated employees and their key fob number. Note: I highlight in bright blue any dates that are to be done in the future.

Once you have finished adding your data, then go to File, choose Email Collaborators from the list, type a message, then click the blue Send button. This process will email the spreadsheet to the two Assistant Principals.
