The following Mentoring Process must be completed for a new hire under a provisional certification for this teacher to obtain a standard license.

You will need to email the supervisor of the new teacher, and request the name of a current teacher that will be assigned to mentor this new hire. Once you have received a mentor name, you will need to add this mentor to the next board agenda for approval.

Once the board has approved the mentor, then this new hire will need to be entered into the Provisional Teacher Program (see instructions titled: Provisional Teacher Program-Entering a New Hire).

The requirements for mentoring are as follows:

New Hire who has a Certificate of Eligibility with Advanced Standing (CEAS):

  • The mentoring fee that is charged to the new hire and paid to the Mentor is $550 (An equal amount will be deducted from the new educator’s pay each pay period.)
  • The mentor will receive the mentor fee at the end of the mentoring period or at the end of the school year if mentoring the full year.
  • The mentor will need to meet with the new educator at least one hour two times a week for the first four weeks, then at least one hour once a week for the remaining 26 weeks to equal a total of 30 weeks.
  • If the new teacher will not be working for the full school year (or if the new teacher was mentored at a different school for less than the full 30 weeks), then the number of mentoring weeks will be prorated.

New Hire who as a Certificate of Eligibility (CE):

  • The mentoring fee that is charged to the new hire and paid to the Mentor is $1,000. (An equal amount will be deducted from the new educator’s pay each pay period.)
  • The mentor will receive the mentor fee at the end of the mentoring period or at the end of the school year if mentoring the full year.
  • The mentor will need to meet with the new educator at least one hour two times a week for the first eight weeks, then at least one hour once a week for the remaining 22 weeks to equal a total of 30 weeks.
  • If the new teacher will not be working for the full school year (or if the new teacher was mentored at a different school for less than the full 30 weeks), then the number of mentoring weeks will be prorated.

The Mentor will need to enter mentoring logs on a spreadsheet once a month. This spreadsheet is shared with this desk. The logs must list individual dates and length of time the mentor met with the provisional teacher. This is a state requirement and is one of the QSAC items that is reviewed. Therefore, it is the responsibility of this position to email the Mentors monthly to remind them to enter the mentoring logs. You should review the logs to make sure the mentors are completing them correctly. You will need to print these logs at the end of the school year (or at the end of the mentoring period) and you will need to scan/upload the log into the new hire’s Archive/Etrieve Content employee file and file this log in the new educator’s paper Personnel file.

Once the mentoring process has been completed (or if the new hire will be leaving the district before completion of the 30 weeks), the mentor weeks will need to be entered into the new hire’s Provisional Teacher certificate (see instructions titled: Provisional Teacher Program-Entering Final Summative Ratings and Mentorship).

NOTE: If the new employee has not completed the 30 weeks of mentoring before leaving the school district, then you will need to complete the Mentoring Transfer Template (located on the NJDOE website: https://www.nj.gov/education/profdev/mentor/) and give this completed form to the terminated employee.
