To calculate the amount of days for those who are out on a leave of absence, use the following:

  • In Linq ERP, keep in mind the # of days the person working is different based on their position. (Example: Teachers and Staff Assistants work 200 days, Secretaries, Custodians/ Maintenance/Grounds, 240 days, Trainers, 206 days, CST/Counselors/ESL staff work 205 days, Bus Drivers/Transportation Aides 185 days, Administrators work 260 days, etc.)
  • The number of days in each staff member’s position will determine the calculation. As an example, a CST/Counselor/ESL teacher who is required to work on a 205 day schedule, the calculation will be 1.025 per day/10.25 days per pay period (paid Sept-June)
  • For Teachers, the calculation will be 1.0 per day/10 days per pay period (paid Sept-June)
  • For those on a 240 day pay schedule, it would be 1.0 per day/10 days per pay (paid July-June)
  • For those on a 260 day pay schedule, it would be 1.08 per day/10.83 per pay period (paid July-June)
  • For Bus Drivers/Transportation Aides, it would be .925 per day/9.25 per pay period (paid Sept-June)

First, calculate the # of pay periods the staff member will be working. Then add any additional days working mid-pay period. This is their total number of days working. Refer to Entering Leave of Absence Adjustments in Linq-ERP for specifics on how to enter the days into ERP.

NOTE: Follow the following for calculating days around a holiday:
If the last day worked before going on an unpaid/FMLA/NJFLA leave is the day before a holiday, then the staff member will get paid for the holiday. However, if the holiday falls at the end of one month, then continues into the next month, the staff member will only get a full pay on the month of the last day worked, no pay for the holiday days that fall into the following month. (Example: Staff member’s last day worked is 12/23/25 and will return 4/4/26, Winter break is 12/24/25-1/2/26. The staff member will get full pay for the 12/30/25 pay period, but no pay for the 1/15/26 pay period.)

If the staff member’s return date from Unpaid/FMLA/NJFLA leave is the first day back from a holiday, then the staff member will get paid for the Holiday. However, if the holiday falls at the end of one month and continues to the following month, the staff member is paid the full pay period on the month they return and no pay for the holiday days that fall on the previous month. (Example: Staff member’s last day worked is 12/23/25 and will return 4/4/26, Spring break is 3/30/26-4/3/26. The staff member will get full pay for the 4/15/26 pay period, but no pay for the 3/31/26 pay period.)
