Frequently, an employee will be paid for additional work outside of their workday. Sometimes this pay is their Per Diem Daily or Per Diem Hourly rate. The calculation of these rates vary depending on the staff member’s main position (i.e., Teacher vs. Secretary).

Something to keep in mind is that all pensionable salary (except for 1/6 positions and 2/6 positions) are used in the calculation of a persons per diem rate. For example, if it is a teacher that has longevity and is a consulting teacher, then the teacher position, longevity position and consulting teacher position would all be used to calculate the rate. For Custodians, longevity and pensionable stipends (such as Boiler’s License and/or Shift Differential) would be used to calculate the rate.

The basic calculation for Daily rate is: Take the pensionable full year salary for the staff member and divide this number by the number of days in this staff member’s school year.

The basic calculation for Hourly rate is: Take the pensionable full year salary for the staff member and divide this number by the number of days in this staff member’s school year. Take this total and then divide it again by the number of hours in this staff member’s day.

The Number of Days and Number of Hours for each position type is listed below:

  • Administration – Days: 260; Hours: 8
  • Clerical and Tech. Dept. Staff – Days: 240; Hours: 7.25
  • Custodians/Maint./Grounds – Days: 240; Hours: 8
  • Teachers – Days: 200; Hours: 7
  • CST & ESL Staff – Days: 205; Hours: 7
  • Athletic Trainers – Days: 206; Hours: 7
  • SPED Staff Assistants – Days: 200; Hours: 7.5
  • Security Support Aides – Days: 200; Hours: 7.25
  • Bus Drivers Full Run – Days: 185; Hours: 6
  • Bus Drivers Part Run – Days: 185; Hours: 3
  • Transp. Aides AM & PM – Days: 185; Hours: 3
  • Transp. Aides AM OR PM – Days 185; Hours: 1.5

NOTE: The number of days and the number of hours can be obtained from the employee’s job/pay. On the Pay Detail page they are listed under the Full Year Days and Full Year Hours columns.

NOTE: The Daily Rate and Hourly Rate are usually also listed in the employee’s job/pay for each pensionable salary. On the Pay Detail page they are listed under the Rates section in the Daily box and Hourly box. You would have to combine all of the pensionable salaries Daily or Hourly rates to get the full Per Diem Daily or Per Diem Hourly rate.

Part Time Staff:

  • Part-time Custodian, take the yearly pay for Step 1 on the Custodian guide, then divide this number by 240 days. The total is a daily rate. Then take the daily rate and divide this number by 8. This is the hourly rate.
  • Substitute Bus Drivers, take the Bus Driver Full Run yearly pay and divide this number by 185 days. The total is a daily rate. Then take the daily rate and divide this number by 6. This is the hourly rate. All other Bus Driver and Transportation Aides hourly rates can be obtained from the Business Administrator/Board Secretary.
  • Part Time Secretary’s hourly rate is NOT based on a step on the secretarial guide. Instead, the Part Time Secretary’s previous year hourly rate is usually increased by the same percentage as the percentage increase that the Secretarial guide is receiving. For example, let’s say that the secretarial guide percent increase was 3%. Then the Part Time Secretary’s hourly rate will increase by 3% as well.
