Often your Supervisor or someone in the Business Office will need to know when an employee was board approved for a specific position. I found that the easiest way to locate this is to go into Archive/Etrieve Content for the specific employee.
To do this:
- Log into Archive/Etrieve Contact.
- Click on the Search box and type the employee’s last name.
- Click on the correct employee from the list that populates.
- Click on Contract folder. Look in the last few contracts that were issued to find the contract that was sent for the position. This contract will have a board approval date listed.
- Go into your Google Drive and look up the board agenda for the date listed on the contract and find the resolution number in the Personnel section for the position in question.
- Give this information (board agenda date and resolution number) to your Supervisor or Business Office.
- If there is no contract letter for this position in the Contract folder, then try looking under the Stipend Contract folder.
- The contract letter should be in either of these two folders.
- If it is not, then try going into the Employee Portal and see if the employee signed this contract. Refer to Publishing Individual Employee Contracts in Linq & Employee Portal for instructions on viewing published contracts.
- You can also try looking in the employee’s personnel folder (in the file cabinets in our office).
- If there is no Contract or Stipend Contract for this position, then there is a good chance that this was never board approved (Yikes!).
